Custom reports

Across the console, most objects land on a table view where you can search and filter for the subset of records you are looking for. We expect those tables to cover most of what you need, but some questions call for a cross-section of data with more granular filtering, or for fields from more than one type of object in the same results. That is where Custom Reports come in. Use Custom Reports to compose your more complex queries and reports, especially when the same data drives work for people across your organization.

Building a report​

  1. Open Custom Report from the side navigation.
  2. Under Report on, choose the type of data, such as controls, risks, vendors, evidence, tasks, or personnel. The list includes only the data types your organization's modules give you access to.
  3. Under Columns, select the fields to include. Search to find a field, or select all fields at once.
  4. Add fields from linked records under Related data if you need them, such as the program a control belongs to or the controls a risk is linked to.
  5. Add Filters and set Sort & limit if you want to narrow or order the results.
  6. Click Run report.

A report needs at least one column, and every filter needs a value before the report runs.

Related data adds fields from records linked to each row, for example the controls mapped to a risk or the owner of a control. Each row includes up to the first 25 linked records.

Filters​

Add up to five filters to narrow the results. Each filter picks a field, an operator, and a value, and the operators depend on the kind of field:

Owners, such as internal owner, assigned to, or reviewed byIs any of, is none of, matching users, groups, or personnel
Any fieldIs empty, is not empty

With more than one filter, choose Match all to require every filter, or Match any to include records that match at least one.

Viewing results​

Results appear on the Results tab with the total number of matching records. Switch Format between Table and JSON to read the data the way you need it. When a limit cuts the results short, the summary shows how many records matched in total.

The Query tab shows the GraphQL query and variables behind the report. Click Copy to reuse it with the Openlane API, for example to run the same report on a schedule.

Exporting​

Click Export and choose CSV, JSON, or YAML to download the full results, not only the page you are viewing. The export keeps your filters, sort, and limit.

Report history​

Each report you run is saved to History next to the Run report button. Pick a recent report to reload its data type, columns, filters, and sort and run it again. History keeps your last 10 reports for each organization in your browser, so your teammates and your other devices do not see it.

Saved and shared reports Coming Soon​

You will be able to save a report with a name and share it with your team, so everyone runs the same report from any device instead of rebuilding it from history.

What you can report on​

Reports respect your permissions, so a report shows only the records you can view elsewhere in Openlane.
